Booking & pickup

Getting a parcel into the network

How do I book a parcel?
Three ways: one at a time in the merchant panel, a CSV of the morning’s orders through the bulk importer, or an API call from your store the moment a customer checks out. Walk-in customers can also book at any of our twelve branch counters.
When will a rider come to collect?
Book a two-hour window and a rider arrives inside it. Booked before 11 am, collection is the same day anywhere we operate directly. From twenty parcels a day you get a fixed daily slot at no extra charge.
What information do I need for a booking?
The recipient’s name, a working mobile number, the district, an address and — importantly — a landmark. Most of Nepal is not addressable by street number, so “opposite the school” is often the field that actually gets the parcel delivered.
Can I book without an account?
Yes, at any branch counter. Online booking, bulk import and the API all require a business account, which is free to open and usually verified within one working day.
How do I print labels?
Labels download as a PDF — thermal 4×6 or A4 four-up, whichever printer you have. Bulk bookings return one PDF for the whole batch, so you print the stack once.

Tracking

Where is my parcel?

How do I track a parcel?
Enter the tracking number on the track page. No account, no login — a recipient should not have to register with a courier to see where their own order is.
What does my tracking number look like?
Thirteen characters beginning UDN, then the two-digit year, then eight letters and numbers — for example UDN26H4K2M9QP. It is on your booking confirmation and printed on the label.
My tracking has not updated in two days. Is it lost?
Usually not. Long gaps are normal on hill and far-western routes, where a parcel can be on a scheduled service for several days between scans. If the gap has passed your promise date, call the toll-free line with the tracking number and support can see exactly where it stopped.
Why does the status say "delivery attempted"?
A rider went to the address and could not hand it over. The reason is on the timeline — recipient unavailable, phone switched off, wrong address, or a request to deliver another day. We try three times before returning it.
Can my customer track it without contacting me?
Yes. The recipient gets an SMS with the tracking link and, on COD orders, the exact amount to have ready. That single message removes most of the “where is it” traffic from your support team.

Cash on delivery

Collecting and settling money

When do I get my COD money?
The amount is credited to your ledger the moment the parcel is marked delivered. The week’s balance — collections minus delivery charges — is transferred to your registered bank account on a fixed weekly day, and you can see the batch line by line before it is paid.
What does COD cost?
A handling charge of 1.5% of the collected amount, minimum Rs 25, on top of the delivery charge. It appears as its own line on every quote, and it is never charged on money that was not collected.
What if the customer refuses to pay?
The rider does not hand over the parcel. It is recorded as a failed attempt with the reason, and after three attempts the parcel returns to you. You pay the return leg but never the COD handling on an uncollected amount.
Is there a maximum COD amount?
Rs 200,000 per parcel by default. Above that, tell us in advance so the route can be planned — a single rider carrying more than the cash limit is a safety problem, not a paperwork one.
Can I change the amount after booking?
Until the parcel is picked up, yes. After pickup it is locked, because the rider is already carrying a manifest against it and changing it mid-route is how cash goes missing.

Rates & charges

What it costs and why

How is the price calculated?
Zone base rate for the first kilogram, plus each further whole kilogram at the zone rate, times the service multiplier. Then surcharges, then any contract discount, then 13% VAT applied last. The calculator shows every line.
Why am I charged more than my parcel weighs?
Chargeable weight is the greater of actual and volumetric weight (length × width × height ÷ 5,000). A box of cushions weighs two kilograms on the scale and forty in the van, and the van is what costs money.
What is the fuel surcharge?
4.5% of the freight subtotal, reviewed monthly against the Nepal Oil Corporation diesel price. When it changes we publish the new figure before it applies rather than folding it quietly into the base rate.
Can I get a discount?
Around 200 parcels a month is where a contract rate makes sense for both sides. It is applied to the subtotal before VAT — which is worth 13% more to you than a discount applied after it.
Are there any charges not shown on the quote?
No. If it is not on the quote it is not on the invoice. The full list of possible surcharges is published on the rates page.

Delivery

The last mile

How long does delivery take?
Next day inside Kathmandu Valley, one to two days on the highway corridor, three to four days to hill districts, and four to nine days to the far west and Karnali. The promise window is set at booking from the destination zone and shown to the recipient.
Do you deliver on Saturday?
Saturday is Nepal’s weekend. Hubs process line-haul but doorstep delivery is limited to the Valley and pre-arranged priority consignments. Promise dates already account for it.
What happens if nobody is home?
The rider calls first. If the recipient cannot take it, it is rescheduled and attempted again, up to three attempts, with each reason recorded. After that it returns to the sender.
Can I change the delivery address after booking?
Yes, until it goes out for delivery on the final leg. Call the toll-free line with the tracking number — a correction made on the phone reaches the rider before the next attempt.
Can the recipient collect from a branch instead?
Yes, at any of the twelve branches. It removes the last-mile portion of the charge, and the recipient gets an SMS with collection hours when the parcel arrives at the branch.

Returns

When it comes back

How do returns work?
Book a reverse pickup and a rider collects from your customer’s address and brings it back to you. It stays attached to the original tracking number with the reason recorded, so your returns data is actually usable.
What does a return cost?
The return leg is charged as a separate movement at the standard rate for that route. You are never charged the COD handling fee on an order whose money was never collected.
How long before an undelivered parcel is returned?
After three failed attempts, or after ten days on hold, whichever comes first. Both are visible on the tracking page as they happen, so a return is never a surprise.
Is the item checked before it comes back?
The rider records the condition at collection, and where the merchant asks for it, photographs it. That settles most condition disputes before they start.

What we carry

Restrictions and handling

What is the maximum weight?
30 kg for a standard or express parcel, and up to 1,000 kg for a cargo consignment. Above that we quote a dedicated vehicle per job.
Can you carry fragile items?
Yes, with a 12% fragile surcharge that buys a segregated lane through the hub, separate shelving and last-on-first-off loading. Insurance is strongly advised on glass, ceramics and screens.
What can you not carry?
Cash and negotiable instruments, live animals, explosives and flammables, narcotics, weapons and ammunition, perishables without cold-chain arrangement, and anything prohibited under Nepali law. The full list is published on the prohibited items page.
Do you carry documents?
Yes — envelopes under 500 g ride at 0.7× the standard rate because they genuinely cost less to move. Signature on delivery is captured, which is usually what legal papers need.

Insurance & claims

When something goes wrong

Is my parcel insured?
Basic liability covers up to Rs 5,000 of declared value at no charge. Above that, declared-value cover is 1.2% of the value with a Rs 25 minimum, quoted as its own line so you can see exactly what the cover costs.
How do I make a claim?
Report it within seven days of the delivery date or the failed delivery, with the tracking number and photographs where relevant. You get a decision in writing within fifteen working days.
What is not covered?
Cash, precious metals, undeclared electronics, and anything on the prohibited list. Under-declaring the value to save the surcharge also caps what you can claim — it is a false economy on a single loss.
What if the parcel is damaged rather than lost?
The same process. The rider records the condition at the door, and where a recipient refuses a visibly damaged parcel that is captured as the reason, which usually resolves the claim quickly.

Accounts

Merchant accounts and settlement

What do I need to open an account?
Business registration or PAN certificate, photo ID for the account holder, and the bank details settlements should go to. Approval is usually within one working day, and we verify the bank account against the registration before the first payout.
Is there a minimum volume or joining fee?
Neither. The account is free to open and there is no monthly minimum. Contract rates become available at higher volume, but nothing is gated behind it.
Can my staff have separate logins?
Yes, with roles. A packer who books parcels does not need to see your settlement balance or your contract rate, so by default they cannot. Every action is recorded against the person who took it.
How do I change my bank account?
Through the merchant panel, and it requires a second approver on our side plus a check against your registration. Account-change fraud is the most common way courier payouts get stolen, so this is deliberately not a one-click change.

Integrations

API and technical

Do you have an API?
Yes — a versioned REST API for creating parcels, quoting rates, tracking and receiving webhooks, with a sandbox that runs the same code as production. API keys are created in the merchant panel.
Is there a WooCommerce or Shopify plugin?
Not yet; it is on the roadmap. Until then the REST API is a straightforward integration, and the bulk CSV importer covers teams without a developer entirely.
What happens if my request times out?
Retry with the same Idempotency-Key header and you get the parcel the first request created, not a second one. On money-moving endpoints the header is required rather than optional.
How are webhooks secured?
An HMAC-SHA256 signature over the raw body, in the X-Udan-Signature header. Verify it with a constant-time comparison before trusting the payload.

For merchants

Settlement questions go to accounts

Anything about a payout, a statement or a bank detail is handled by the accounts team — bring the batch reference and the conversation is about thirty seconds long.

Pickups

You do not need to call to book a collection

Pickups are three taps in the merchant panel or the app. Phoning is slower, and it keeps the line busy for people with an actual problem.

For riders

App problems? Ask your branch first.

Rider app issues are handled by your branch manager, who can see your device status and route assignment. Head office cannot resolve a route problem faster than the person who planned it.
